This policy explains what personal information SoftHubKey collects, why, who we share it with, how long we keep it and the choices you have.
1. Who we are
SoftHubKey (“we”, “us”) runs the website softhubkey.store. We are based in New Mexico, United States. For any privacy question or request, write to contact@softhubkey.store.
2. Information we collect
Information you give us
- When you contact us: your name, email address, the content of your message and anything you choose to include, such as company details for a quote.
- When you place an order: your name, email address, country and the details of your order. Business customers may also give us a company name, billing address and tax number for invoices.
- If you create an account: your login details and order history.
Payment information
Payments are processed by our payment providers. They collect your card or account details directly; we never receive or store your full card number. We receive a confirmation of payment and limited details such as the amount, the payment method type and, where provided, the last digits of a card.
Information collected automatically
- Server logs: our hosting provider records technical data for each visit, such as your IP address, browser type, the pages requested and the date and time, to keep the site secure and working.
- Cookies: see section 5.
- Fraud prevention: to protect customers and ourselves from payment fraud, we and our payment providers may use order information such as your IP address, country and email address to assess the risk of an order.
3. How we use your information
- To answer your messages and prepare quotes.
- To process, deliver and support your orders, including replacements and refunds.
- To prevent fraud and keep the website and our customers secure.
- To keep the records that tax and accounting laws require.
- To send you service messages about your orders. We send marketing emails only if you ask to receive them, and every such email lets you unsubscribe.
If you are in the European Economic Area or the United Kingdom, our legal bases are: performing a contract with you (orders and support), our legitimate interests (answering enquiries, preventing fraud, securing the website), complying with legal obligations (tax and accounting records) and your consent (optional marketing).
4. Who we share it with
We share personal information only as needed to run our business:
- Service providers who host our website, process payments and send email for us, under contracts that limit their use of your data.
- Product suppliers, only the order details needed to supply your product. Most products need no personal information from you to be supplied.
- Professional advisers such as accountants and lawyers, under confidentiality.
- Authorities, when the law requires it or to protect our rights and our customers against fraud.
- A buyer of our business, if the business is sold or merged, under this policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
5. Cookies
We use only cookies that the website needs to work: for example, to keep the contents of a shopping cart, to keep you signed in to your account and to protect forms against misuse. We do not use advertising or tracking cookies. If we add analytics in the future, we will update this policy and, where the law requires it, ask for your consent first.
6. International transfers
We are based in the United States, and our service providers may process information in other countries. Where the law requires it, we rely on appropriate safeguards, such as standard contractual clauses, for transfers of personal information from the European Economic Area or the United Kingdom.
7. How long we keep it
- Messages and quotes: up to 24 months after our last contact.
- Orders and invoices: as long as tax and accounting laws require, normally up to 7 years.
- Server logs: for a short period set by our hosting provider, for security.
- Accounts: until you ask us to close your account, after which order records are kept as described above.
8. Security
The website uses encrypted connections (HTTPS). Access to customer information is limited to the people who need it to serve you. Digital product codes are delivered to you securely, and we never ask for your passwords. No system is perfectly secure, but we work to protect your information and will notify you and the authorities of a breach when the law requires it.
9. Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to delete it, to receive a copy of it, to object to or restrict how we use it and to withdraw consent you have given. Residents of California and other US states with privacy laws have the right to know what we collect, to delete and correct it, and to opt out of its sale or sharing (we do not sell or share it). We will not treat you differently for using these rights.
To make a request, email contact@softhubkey.store with the subject “Privacy request”. We may ask you to confirm your identity, and we reply within 30 days or sooner where the law requires. If you are in the European Economic Area or the United Kingdom, you may also complain to your local data protection authority.
10. Children
Our website and products are not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.
11. Changes to this policy
We will update this policy when our practices change and show the new date at the top. For significant changes, we will also tell customers by email or on the website.
